The $50,000 Order That Almost Went Wrong

Back in Q1 2024, I approved a purchase order for 2,000 Texas Instruments BA II Plus calculators. The order was for a regional university—one of our newer institutional accounts—and the total came to roughly $50,000. It was a big deal for us.

I can only speak to our experience with mid-size institutional orders. If you're placing bulk orders directly from Texas Instruments or large-scale distributors, the calculus might be different. But for smaller authorized resellers? This has saved us.

The Cost of Getting It Right

I'm not proud of how much we spent fixing that first mistake. But there was an upside: we now have a process that catches these issues before they reach the client.

  • I'd ask for a sample from the production line (or at least a recent batch photo).
  • I'd add a clause in the PO: "Units must match the approved sample in all visual and tactile respects."
  • I'd build in two weeks of buffer for verification before the promised delivery date.

The most frustrating part of vendor management: you think written specs will prevent misunderstandings, but interpretation varies wildly. That's why we now emphasize physical samples over digital spec sheets.

Final Thought

I have mixed feelings about the whole experience. On one hand, we lost $22,000 and a month of trust with a key client. On the other hand, we now have a foolproof verification process that's saved us from at least two similar situations since.

If you're ordering calculators—or anything with a model number that might have subtle revisions—ask for an actual production sample. I learned never to assume the proof represents the final product after receiving a batch that felt different from what we approved.

(This approach worked for us on bulk orders of 500-2,000 units. If you're ordering a single unit for a desk, the calculus might be different. But for institutional purchases? Worth it.)
